Job Title: Finance Officer
Department: Finance
Reports To: Executive Director
Duty Location: Freetown

Job Summary
The Finance Officer will be responsible for managing the financial operations of Mary Scott Charity Foundation, ensuring that the foundation's financial resources are used efficiently and in compliance with internal policies and external regulations. The Finance Officer will maintain financial records, process transactions, assist in budgeting and financial reporting, and support audits and financial controls.

Roles and Key Responsibilities

Maintain and update financial records, including income, expenditures, and financial transactions

Assist in the preparation of annual budgets and financial reports

Process financial transactions, ensuring compliance with the foundation's financial policies and donor requirements

Prepare monthly, quarterly, and annual financial statements and reports for management and donors

Ensure accurate and timely processing of accounts payable and receivable

Assist with the preparation and coordination of audits and ensure financial compliance

Monitor cash flow, and manage funds efficiently while ensuring timely payments and financial transparency

Provide support for project financial management, including tracking expenses and monitoring budgets

Ensure all financial documentation is properly filed and secured

Support in the development and implementation of financial policies and procedures

Basic Qualifications

Bachelor's degree in Accounting, Finance, or a related field

Minimum of 3 years of experience in financial management, preferably in the non-profit sector

Familiarity with financial software and tools (e.g., QuickBooks, Excel)

Strong knowledge of financial regulations, budgeting, and reporting requirements

Knowledge, Skills, and Abilities

Strong attention to detail and accuracy in financial record-keeping

Excellent organizational and time-management skills

Ability to work under pressure and meet deadlines

Strong communication and interpersonal skills

Proficiency in Microsoft Office, especially Excel

Ability to work independently and as part of a team

Knowledge of local tax laws and regulations is an advantage

Supervisory Responsibilities

None

Internal: Executive Director, Program Managers, Finance Team, Field Coordinators, Administrative Staff
External: Donors, external auditors, financial institutions, vendors

Job Title: Admin & HR Officer
Department: Administration and Human Resources
Reports To: Executive Director
Duty Location: Freetown (with occasional field visits to project sites)

Job Summary
The Admin & HR Officer will be responsible for overseeing administrative operations and human resource functions within the foundation. This role includes managing HR processes, supporting recruitment, maintaining employee records, and ensuring effective communication across departments. The Officer will also handle day-to-day office administration, ensuring smooth operations and compliance with organizational policies.

Roles and Key Responsibilities

Oversee HR functions including recruitment, onboarding, performance management, and staff welfare

Ensure all administrative tasks are completed accurately and promptly, including handling office supplies, managing schedules, and organizing meetings

Maintain and update employee records, contracts, and other HR documents

Coordinate staff training, development programs, and performance appraisals

Assist with the preparation of HR policies and ensure their compliance with labor laws

Ensure smooth communication between departments and staff members

Assist with payroll processing and benefits management

Organize and oversee office logistics, meetings, and events

Support in the preparation of financial and operational reports

Manage filing systems and ensure the confidentiality of sensitive information

Basic Qualifications

Bachelor's degree in Business Administration, Human Resources, or a related field

Minimum of 3 years of experience in human resources and administrative functions, preferably within an NGO setting

Familiarity with HR best practices, labor laws, and administrative procedures

Knowledge, Skills, and Abilities

Strong organizational and multitasking skills

Excellent written and verbal communication skills

Ability to handle sensitive and confidential information with discretion

Proficiency in Microsoft Office (Word, Excel, PowerPoint)

Strong attention to detail and problem-solving skills

Ability to work independently and in a team

Knowledge of local labor laws and HR practices is an advantage

Job Summary
The Volunteer will assist in the day-to-day activities of the foundation’s healthcare, education, and poverty alleviation programs. Volunteers will work closely with community leaders, beneficiaries, and staff to ensure successful project delivery and assist in various administrative and field activities. This is an excellent opportunity for individuals looking to contribute to meaningful social impact and gain experience in the non-profit sector.

Roles and Key Responsibilities
• Support the implementation of field activities under the guidance of the Field Coordinator.
• Assist in the collection of data for reporting, monitoring, and evaluation purposes.
• Help prepare materials for community meetings and events.
• Provide logistical support during project field visits and ensure resources are used effectively.
• Facilitate communication between community members and the foundation’s team.
• Assist in identifying community needs and helping with program adjustments.
• Perform administrative tasks such as filing and documentation.

Basic Qualifications
• High school diploma or equivalent; undergraduate students or recent graduates in relevant fields such as Development Studies, Public Health, or Social Sciences are encouraged to apply.
• No prior professional experience required, but a passion for community development is essential.
• Interest in working in the NGO sector and gaining hands-on experience in community development programs.
